Using this function you can enter follow-up actions that should be performed by a specific handler and distribute them among different project orders or quotations.
The procedure described below is for project orders. Note: Select the Work with project quotation planned follow-up menu item if you want to enter planned follow-up for a quotation. Apart from this, the procedure is identical with that of the project order.
- Select the Work with project planned follow-up menu item.
- You access Planned follow-up maintenance. Complete the following fields:
- Handler
- Enter the handler for which you want to enter planned follow-up actions.
- Planned date
- Enter the planned date. This date is used for positioning on the planned date when the maintenance of planned follow-up actions per user is started.
- You access the second Planned follow-up maintenance panel. (Note: If previous records exist, click Add to enter new follow-up actions). Complete the following fields:
- Date
- Enter the planned date for the follow-up action.
- Number/Handler
- Enter the number of the project or quotation for which the action should be created.
- Line
- Optional entry. Enter a line number. If this field is left blank the system will automatically create line numbers in intervals of 10.
- Code
- Enter a code from the Follow-up code table indicating the planned follow-up.
- Description
- Enter a description of the planned action. If this field is left blank a description will be retrieved from the Follow-up code table.
- Note: Several follow-up records can be registered for the same project before you update the information.
- You return to the initial Planned follow-up maintenance panel. At this point you have several options. You can:
- Click Add to add more lines to the planned follow-up.
- Select a line and click Copy to copy. You access Follow-up line copy. Specify the desired number of copies and click OK. The copy function duplicates the planned values and initialises the actual values (if they are already entered). You can change information in the fields.
- Set the Close field to YES to close the action line. The line status will be set to 9 (closed). No more changes can be made.
- Select a line and click Delete to remove the line. This is only possible if the line is not closed.
Click OK.
Click OK twice to confirm and update the added follow-up actions.
Exit the routine.
