The proposal is based on the reminder rule, which must be set up first and assigned to the debtor. See Define a reminder rule and Assign a reminder rule to a debtor for more information.
All information about the reminders and the related documents is available on the panels accessed during the process. The same information is also shown on the control list which can be printed as many times as you wish, at all times. This is a short description of the reminder proposal process.
See Date handling in the reminder routine for information about the calculation methods that exist in order to decide how to treat the days between reminders.
- You create a reminder proposal by entering selection criteria and specification values.
- The system automatically:
- creates the reminders to be included in the proposal,
- retrieves the documents which are overdue for payment according to the selection criteria and the reminder rule defined for the debtor,
- immediately connects the documents to each applicable reminder in the proposal.
- The reminders are issued, printed, and distributed. If the customer and debtor are not the same, then the reminders will be issued and sent to the debtor.
- You update the Accounts Receivable with the active reminders’ information. You can either select the Update option on the Overview panel, or you can choose to update the proposal during reminder printout.
If the system warns you that one or several documents within this proposal selection were excluded because they existed in another active proposal (at creation), then you should investigate why overlapping selections exist. To avoid this situation, it is important that the selections you specify are as accurate as possible. See Warning messages.
You can follow the status of the proposal on the Overview panel. See Proposal statuses.
Note: The alert and the reminder stop code on document level are the only means of control that exist in the system for this routine.
Once you have printed and sent all paper distributed reminders, sent all reminders defined for electronic distribution, and updated the proposal, then the proposal is completed and not maintainable. To monitor the same debtor’s overdue situation later, you have to create a new proposal.
